Important Information About Expo Scholarships

Please read the following carefully. It explains what Expo scholarships can – and can’t – cover.

What can Expo scholarships cover?

Your scholarship may cover some or all of the the following:

  • Travel to and from Denver, CO via plane, train or bus
  • Fuel reimbursement if you travel to Denver by car
  • Accommodations in a standard guest room at the Expo host hotel for the nights of Thursday, June 27, Friday, June 28 and Saturday, June 29, 2024
  • Expo registration fees

Expo scholarship rules

  • Travel and fuel cost will be covered by reimbursement after travel has been completed. If you need an exception please let us know and we will do our best to accommodate you.
  • All Expo travel costs will only be covered or reimbursed after Expo attendance. 
  • Hotel rooms must be reserved by scholarship recipients.
  • The scholarship covers only the room cost and taxes, not any hotel incidentals.
  • Because scholarship awards are based on an understanding that attendees have a need to attend and benefit from the event, Expo scholarship attendees are expected and required to attend the maximum amount of sessions all three days of the event (i.e., all general sessions, all breakout sessions: three Friday, three Saturday and Sunday). Exceptions must be reviewed and approved in advance.
  • Expo scholarships cannot cover any costs for individuals who will not be attending all Expo sessions, or who do not attend all Expo sessions. 
  • Because scholarship awards are based on an understanding that attendees have financial hardship, we cannot award scholarships to attendees who will be extending their stay before or after the event unless due to travel requirements or restrictions. Exceptions must be reviewed and approved in advance.

Expo attendance

All scholarship recipients must attend the full Expo, from Friday, June 28 at 9:00 a.m. through Sunday, June 30 at 2:30p.m. EDT. In many cases, scholarship awards have been calculated to include three nights at the Hyatt Regency: Thursday, Friday and Saturday. In awarding this scholarship, we are hoping recipients will gain knowledge and support that will improve life with eczema. Accordingly, all scholarship recipients are expected to make every effort to attend all general and chosen breakout sessions.

Volunteering

We require that scholarship recipients (one person per scholarship award) perform up to two hours of volunteer work at Expo. This service may be performed by just one member of the party receiving the scholarship. We will be in touch closer to Expo with volunteer opportunities.

Registration

Discounted and complimentary registrations will be furnished in the form of promo codes. If you accept your scholarship, discounted and/or complimentary registrations must be claimed and paid in full by Monday, April 12, 2024.

It is important to keep our general sessions adults-only so that everyone is able to learn without distractions. For that reason, no children are allowed at any adult sessions. This year’s Expo includes a camp for children under 5 years of age. Mini Warriors Camp will be run by the same wonderful, caring people from Corporate Kids Events as our other Expo Camps. Mini Warriors Camp will be located close to adults’ sessions, making it easy to check in on, feed or nurse your little one. If your scholarship registration allocation didn’t include a Mini Warriors Camp registration, please let us know.

Hotel room

We will reimburse eligible hotel room expenses after your stay, upon presentation of receipts and dependent on attendance of full Expo event. Eligible hotel expenses are room fees for up to three days (June 27-30, 2024) at the Hyatt Regency Denver at the Colorado Convention Center. The rate for three nights in a standard king or 2-double room at the Hyatt Regency Grand Cypress is $189 per night, plus tax. 

Unless other arrangements have been made, scholarship recipients are responsible for booking their own rooms.

If your scholarship included a hotel award, it is valid on a standard room at the Expo host hotel, the Hyatt Regency Denver at the Colorado Convention Center. Expo scholarships do not apply to any upgraded rooms, or rooms at other hotels. Our room block is limited and we strongly encourage you to reserve your room right away. You will be required to put down a credit card to secure your room reservation but your card will not be charged until 48 hours before the first night on your reservation.

If you’ve received a full 3-night scholarship or you’re sharing with another scholarship recipient: At check-in time, your room will be secured by National Eczema Association (NEA) – meaning you won’t have to put down a nightly deposit. (On the flip side, you won’t be able to charge anything to your room unless you put down a credit card with a nightly deposit.) Upon checkout, your room charges and taxes will be paid in full by NEA.

If you’ve received a scholarship for 1 or 2 days: At check-in time, you will need to put down a credit card, but the deposit will be significantly reduced — more details on this later. (After you’ve received details, if you have any questions or concerns, let us know. Our goal here is to make Expo lodging accessible and stress-free for you — we are here to help!) At check-out time, the amount designated in your scholarship will be covered by NEA and you will be responsible for the remaining night(s).

If you’ve received a room share award: If you decide to room alone, you will receive the amount specified in your scholarship. If you would like to find a roommate, we recommend joining and posting in the Expo Connector 2.0 Facebook group to vet prospective roommates. Determining suitability and safety of your roommate is your responsibility. Once you find your roommate, reserve your room at the hotel (available once you register for Expo), including your roommate on the reservation, then email expo@nationaleczema.org and to let us know that you’re sharing a room and what your roomie’s name is.

Travel

We will reimburse eligible travel expenses after Expo, upon presentation of receipts and dependent on attendance of full Expo event. Eligible travel expenses are:

  • Airfare
  • Train
  • Bus
  • Fuel costs — applies to attendees for whom a car is the sole or main form of transportation to Expo
  • Up to $25 each way for travel to and from bus station, train station or airport. This applies in total, not per person, and covers train, bus, taxi, ride share and shuttle, but not gas or mileage.
  • Parking of up to $10 each day at your starting bus station, train station or airport
  • Baggage fees

Reimbursement

NEA will reimburse expenses up to the allocated scholarship amount after awardees have attended Expo and fully satisfied scholarship requirements. At the conclusion of the event, awardees will receive an email with instructions for submitting receipts for reimbursement. Only approved expenses will be reimbursed, and only up to the award total. Please be sure to carefully review which expenses are eligible for reimbursement; submission of other receipts will slow down the reimbursement process.

Reimbursement checks will be issued no more than one week after receipts are submitted (provided all required information is included) and should arrive within 7 days after issuance.

FAQs

When should I arrive?
We recommend arriving as early as you can on Thursday, June 27 to enjoy workshops, meetups and our nighttime family cookout. If you choose to arrive Friday, get there by 8am so you you can check in to your room/check your bags at the front desk, get your badge and join Opening Session at 9 a.m.

When should I depart?
Closing session will wrap up by 2:30pm on Sunday, June 30, so you should be able to catch a flight any time after 5:30pm. If you can’t find a flight Sunday evening, you might want to depart Monday, instead.

How much are hotel rooms?

Are any meals included with Expo registration?
Yes! Adult registration includes one breakfast, one lunch, one dinner and daily snack and coffee breaks. Expo Camp (with the exception of ages 0-2) includes lunch and snacks on Friday, Saturday and Sunday, plus one dinner. The Hyatt Regency is located in downtown Denver and offers a number of affordable, allergy-friendly dining options within walking distance.
